Production List Plugin Privacy Policy

This policy covers the Production List assistant plugin: the connector that lets AI assistants such as ChatGPT and Claude look up film and television productions, production companies and crew from Production List. It is developed and published by GreyTV Media(“we”, “us”). The data the plugin returns is published by Production List, a service of the Film & Television Industry Alliance, and its use is governed by the Production List Privacy Policy and Terms of Service. 1. What the plugin does
When you ask your assistant a question about a production, a company, a crew member, or what is filming in a place, the assistant may call the plugin. The plugin answers from the Production List database and returns public listing facts: titles, stages, dates, locations, the companies and named people attached to a production with their roles, and the public page for each record.
2. What the plugin never returns
The plugin never returns personal contact details of any kind: no email addresses, phone numbers, office or home addresses, or agent contacts. Those are excluded at the data layer, not filtered afterwards, so they cannot be returned by any tool the plugin offers. When asked how to contact a production, the plugin states that contacts are available to Production List members and links the listing.
3. What we collect
The plugin has no sign-in and no user accounts. When your assistant calls it, we record:
- the name of the tool called and whether the call succeeded, with a timestamp;
- the assistant’s user-agent string, truncated to 200 characters;
- a short one-way hash of the calling network address, held in memory only for rate limiting and discarded within the hour. It is not written to any database;
- if the call carries a Production List API key, the account that key belongs to, so usage counts against that account’s plan.
We do not record your question, the words the assistant sent to the plugin, or the answers it received. We do not set cookies. We do not build profiles. The assistant you are using (for example OpenAI or Anthropic) handles your conversation under its own privacy policy.
4. How we use it
Usage records are used to keep the plugin available (rate limits and daily capacity), to count calls against API plans, and to understand which tools are used in aggregate. They are not sold, shared with advertisers, or used to identify you.
5. Where it runs, and who else sees it
The plugin runs on Vercel (hosting) and stores usage records in a Supabase database, both processing data under contract with us. No other party receives usage records. The assistant platform you use (for example OpenAI or Anthropic) sees the tool calls it makes on your behalf under its own policy.
6. How long we keep it
Usage records for the plugin’s free tier are deleted 12 months after they are written. Usage recorded against a Production List API key follows that account’s plan and is kept for the life of the account plus 12 months for billing records. The in-memory rate-limit hash is discarded within one hour and never stored.
7. Your controls
There is no account to manage and nothing in a usage record identifies you. If you want to know whether we hold records from your assistant’s requests, or want them deleted before the 12-month limit, email api@productionlist.com with the approximate time and the assistant you used, and we will delete matching records within 30 days. You can stop all collection at any time by removing the plugin from your assistant.
8. Children
The plugin is not directed at children under 13 and collects no information from them.
9. Changes
We will update this page when the plugin’s behaviour changes, and the date above will change with it.
